How to Set Up and Deliver Digital Downloads on Etsy

Last fact-checked: August 2026

Selling digital downloads on Etsy looks wonderfully simple from the outside.

Create a printable, upload it, make a listing and wait for Etsy to deliver it.

The basic process really can be that simple. The part beginners often discover later is that there are several places where things can go wrong: the files are too large, the buyer cannot figure out how to download them, a Canva template is shared incorrectly, the listing does not explain what the customer receives, or the seller prices the product without accounting for Etsy’s fees.

At WAHMN, we would rather help you set the system up correctly before the first order arrives.

In this guide, we’re going to walk through the complete process, including:

  • What kinds of digital products Etsy allows

  • What software you actually need

  • What Etsy currently charges

  • How to prepare your files

  • How to create an Etsy shop

  • How to make your first digital listing

  • How to upload the product for automatic delivery

  • How to deliver Canva templates

  • How made-to-order digital products work

  • How to create listing images that explain the product

  • How to price your product after Etsy fees

  • What customers see after they buy

  • How to prevent the most common download questions

  • What to do when a customer cannot find or open the files

  • Copyright, Canva licensing and AI rules

  • What to check before publishing

The goal is not merely to get a listing online. We want you to have a system that a real customer can purchase and use without needing you to manually email files every time you make a sale.

Why Etsy Is Worth Considering for Digital Products

Etsy already has a very large buying audience. At the end of 2025, the Etsy marketplace reported approximately 86.5 million active buyers, 5.6 million active sellers and more than 100 million items for sale. Etsy marketplace gross merchandise sales were about $10.46 billion during 2025.

Those numbers do not mean that opening an Etsy shop guarantees sales. In fact, more than 100 million listings also means you are competing for attention.

What Etsy gives you is access to an established marketplace where people already go to shop. You still need a product people want, good listing images, useful keywords, competitive pricing and customer service.

See Etsy’s latest marketplace figures

Digital downloads are particularly attractive for a home business because the same finished file can usually be sold repeatedly without packing boxes or going to the post office.

That does not make the business completely passive. You still have to create products, update listings, answer customer questions, keep links working, watch licensing rules and market the shop.

What Counts as a Digital Download on Etsy?

Etsy currently divides digital products into two basic types:

Instant downloads: The finished files already exist. Etsy makes them available to the customer after payment is confirmed.

Made-to-order digital downloads: The customer purchases first, and you create or customize the digital product afterward. You upload the finished files when the order is complete.

Read Etsy’s official digital listing instructions

Examples of products that can fit this model include:

  • Printable planners

  • Checklists

  • Worksheets

  • Invitations

  • Wedding printables

  • Business forms

  • Social media templates

  • Canva templates

  • Resume templates

  • Budget spreadsheets

  • Sewing patterns

  • SVG files

  • Digital artwork

  • Classroom materials

  • Ebooks

  • Guides

  • Lightroom presets, if properly packaged and licensed

  • Custom invitations

  • Custom digital portraits

  • Personalized printable signs

There is one important Etsy rule to understand before you start.

Digital products sold on Etsy must be made and/or designed by the seller. Etsy also allows seller-prompted AI creations, but Etsy requires sellers to disclose the use of AI for those creations.

That means buying somebody else’s digital product and simply uploading it to your Etsy store is not a safe business model.

Before You Build Anything: Check the Rights

This is one of the least exciting parts of creating digital products, but it can save you a serious problem later.

Before selling a file, make sure you have the right to sell every important part of it.

Check:

  • Fonts

  • Stock photographs

  • Illustrations

  • Clip art

  • Icons

  • Templates

  • Patterns

  • Quotes

  • Characters

  • Logos

  • Brand names

  • AI-generated material

  • Commercial-use licenses

Do not assume that because you purchased an image or downloaded a font, you automatically received the right to put it into a product that other people can download.

Be especially careful with trademarks

Creating a printable around a popular movie, celebrity, professional sports team or brand can look like an easy way to attract Etsy searches.

It can also lead to an intellectual-property complaint.

Etsy states that it removes or disables material when it receives compliant intellectual-property infringement notices.

Etsy’s intellectual-property guidance for sellers

For U.S. creators, copyright generally exists automatically when an eligible original work is created and fixed in a tangible form. Registration is separate and can provide additional legal benefits.

A Special Warning If You Create Products in Canva

Canva can be an excellent tool for digital products, but Canva’s content library is licensed. You do not own everything in the Canva library just because you have a Canva subscription.

Canva says products you sell must be original designs. You cannot take a Canva photo, illustration or other library element and resell it essentially by itself.

Canva also has special rules for editable templates.

If your template contains Canva Pro Content, Canva says it may be sold as a Canva template link, rather than as an editable off-platform file containing that Pro Content.

If you plan to build a business selling Canva templates, read those pages before you build 100 products.

What Software Do You Actually Need?

You can start with a very small software stack.

Need Beginner Option What You’ll Use It For
Design Canva Printables, worksheets, template products and listing graphics
Documents Google Docs or Microsoft Word Instructions and written products
PDFs Browser PDF viewer or Adobe Acrobat Reader Testing finished PDFs
Spreadsheets Google Sheets or Excel Track products, keywords, prices and sales
File compression Built into Windows/macOS Creating ZIP files
Marketplace Etsy Listing, payment and delivery
Storage/backups Google Drive, OneDrive or local backup Keeping your master files safe

You do not need expensive design software to learn this business.

What matters much more is understanding:

  1. How to create a useful product.

  2. How to export it correctly.

  3. How to package it for the customer.

  4. How to clearly explain what the buyer receives.

  5. How to test it before selling it.

Step 1: Create a Product Folder Before You Create the Etsy Listing

Do not keep your Etsy product scattered through your Downloads folder.

Create one master folder.

For example:

Etsy Products

Inside it:

Budget Planner

Then create:

  • 01 MASTER FILES

  • 02 CUSTOMER FILES

  • 03 INSTRUCTIONS

  • 04 LISTING PHOTOS

  • 05 VIDEO

  • 06 LICENSE INFO

  • 07 ARCHIVE

This gives you one place to find everything if a customer contacts you six months later.

Never make your only copy of a product the version uploaded to Etsy.

Step 2: Decide Exactly What the Customer Will Receive

Before creating the listing, make a file-delivery list.

Suppose we are selling a printable small-business planner.

We might provide:

  1. US Letter PDF

  2. A4 PDF

  3. Printing instructions

  4. Getting-started guide

  5. Personal-use license

Write those down.

Now compare that list with what appears in your Etsy description and your listing graphics.

A customer should not have to guess what she bought.

Step 3: Export the Finished Product

The right export setting depends on what you’re selling.

For printables

PDF is usually the most practical format.

If the product is intended to be printed, make sure:

  • The page dimensions are correct.

  • Margins are intentional.

  • Nothing important is too close to the trim area.

  • Fonts display correctly.

  • Links work if the PDF contains clickable links.

  • Pages are in the correct order.

  • Both US Letter and A4 versions are provided if you advertise both.

Do not put “A4 + US Letter included” in the listing unless you actually tested both versions.

For JPG or PNG files

Make sure:

  • The dimensions match what you advertised.

  • Resolution is adequate for the intended use.

  • Background transparency works if promised.

  • Colors display correctly.

  • Files have understandable names.

For SVG products

Open the SVG in at least one compatible program before selling it.

Do not assume that because the file exported successfully, it actually works.

For ZIP folders

ZIP is useful when several files belong together.

Etsy supports ZIP files as digital downloads.

A buyer may need to extract the ZIP before opening its contents. Etsy’s own buyer instructions explain how to do this on computers and mobile devices.

Step 4: Name the Customer Files Before Uploading Them

This is more important than it sounds.

Etsy says the filename you upload is the same filename the buyer sees, and Etsy does not provide a way to rename that uploaded file after the fact. Etsy currently limits digital filenames to 70 characters and allows letters, numbers, periods, underscores and hyphens.

Bad filename:

final-FINAL2-copy-edited-new.pdf

Better:

Small-Business-Planner-US-Letter.pdf

Or:

START-HERE.pdf

For a five-file product, we might use:

  • 01-START-HERE.pdf

  • 02-Business-Planner-US-Letter.pdf

  • 03-Business-Planner-A4.pdf

  • 04-Printing-Instructions.pdf

  • 05-License.pdf

The numbered format also helps the buyer understand what to open first.

Step 5: Create a START HERE File

This is one of our favorite ways to reduce customer confusion.

Make a simple one- or two-page PDF called:

START HERE

It should tell the buyer:

  • What she purchased

  • Which files are included

  • Which file to open first

  • What software she needs

  • How to print the product

  • How to use the editable version

  • How to unzip files, if necessary

  • Where to find the Canva template link, if applicable

  • How to contact you through Etsy if she needs help

For a Canva template product, your START HERE file may contain the link that opens the editable Canva template.

Example

Thank you for your purchase!

Your download includes access to the 30-Day Content Planner Canva Template.

To get started:

  1. Open this PDF on your computer or mobile browser.

  2. Click the button below labeled Open Your Canva Template.

  3. Sign in to Canva or create an account.

  4. Follow Canva’s prompt to use the template.

  5. A new copy will be created for you to edit.

  6. Change the text, colors and images as needed.

  7. Download your finished design from Canva.

Important: Do not request edit access to the seller’s master design. Use the template link to create your own editable copy.

Need help? Send us a message through your Etsy order.

That one page can prevent a surprising amount of support work.

Step 6: Check Etsy’s File Limits Before You Finish the Product

For instant digital products, Etsy currently allows:

  • Up to five files per listing

  • Up to 20 MB per file

Supported formats currently include:

  • BMP

  • DOC

  • GIF

  • JPEG/JPG

  • MOBI

  • MOV

  • MP3

  • MPEG

  • PDF

  • PNG

  • PSP

  • RTF

  • STL

  • TXT

  • ZIP

  • ePUB

  • iBook

This means you should decide how your product will be packaged before building a 300 MB download.

If you have 17 PDFs, for example, group logical files into ZIP folders rather than asking the customer to manage 17 separate downloads.

Step 7: Test Every File Yourself

Before Etsy ever sees the product, create a temporary folder called:

CUSTOMER TEST

Copy only the files the customer will receive into it.

Now pretend you bought the product.

Open every file.

Check:

  • Does the PDF open?

  • Are all pages present?

  • Do hyperlinks work?

  • Are spelling and instructions correct?

  • Does the ZIP extract?

  • Do the files inside the ZIP open?

  • Does the Canva template link create the correct template?

  • Are any private master-file links exposed?

  • Does the printable fit the advertised page size?

  • Are the images sharp?

  • Is any paid font or licensed asset missing?

Do this again after you make major changes to a product.

Never use the buyer as your quality-control system.

Step 8: Open Your Etsy Shop

If you already have an Etsy store, skip ahead.

For a new shop, Etsy says you must initially set the store up through a desktop web browser. After the shop is created, you can also manage it with the Etsy Seller app.

Start here:

Open a shop on Etsy

The current setup process includes choosing:

  • Shop language

  • Country

  • Currency

  • Shop name

  • Payment information

  • Billing information

  • Identity verification

  • Two-factor authentication

Choose your shop language carefully

Etsy says your original shop language cannot later be changed, although you can add additional languages.

Choose your shop name

Etsy currently requires shop names to:

  • Contain 4 to 20 characters

  • Contain no spaces or special characters

  • Not already be in use

  • Avoid infringement of another trademark

Do a trademark search before building an entire brand around a name.

Step 9: Set Up How Etsy Will Pay You

Etsy Payments sends eligible shop funds to your connected bank account.

For U.S. sellers, Etsy currently uses Plaid to connect and verify bank accounts. Etsy says the name on your banking information should match the legal/tax information associated with your shop.

During onboarding, Etsy may ask whether you’re operating as:

  • An individual or sole proprietor

  • An incorporated business

Etsy specifically states that you do not have to form a legal business entity merely to sell on Etsy. However, you are still responsible for following the laws that apply where you operate.

This is a place where we recommend slowing down.

Enter your legal information carefully instead of guessing.

Step 10: Complete Etsy Identity Verification

Etsy currently partners with Persona for identity verification.

New sellers may need:

  • A government-issued ID

  • A selfie

  • Matching legal/banking information

Etsy also requires two-factor authentication when setting up the shop.

Do not use fake business information or a bank account belonging to an unrelated person merely to get through setup.

How Much Does It Cost to Open and Sell on Etsy?

There is no longer one universal “Etsy costs 20 cents to start” answer.

Etsy currently charges a one-time, non-refundable shop setup fee, and Etsy says that amount varies by location. You will see the applicable amount during onboarding.

Then there are selling fees.

For most basic Etsy sales, pay attention to:

Listing fee

$0.20 per listing.

Listings generally expire after four months. Etsy may also charge another $0.20 when a listing renews after a sale or expiration.

Transaction fee

Etsy currently charges 6.5% of the order amount.

Etsy Payments processing

For a seller with a U.S. bank account, Etsy currently lists the payment-processing fee as:

3% + $0.25 per order.

Processing rates vary by country.

Check Etsy Payments processing fees for your country

Offsite Ads

This one can surprise new sellers.

Etsy automatically enrolls shops in Offsite Ads. Shops that have never reached $10,000 in Etsy revenue during any consecutive 365-day period can currently opt out.

If an eligible shop remains enrolled and a qualifying Offsite Ad generates the sale, Etsy charges 15%. Once a shop has reached the $10,000 threshold in any consecutive 365-day period, participation becomes mandatory and the applicable Offsite Ads fee is currently 12%.

Read Etsy’s current Offsite Ads rules

What Would Etsy Fees Look Like on a $12 Digital Product?

Let’s use a simplified U.S. example.

Product price:

$12.00

Basic fees:

  • Listing/renewal fee: $0.20

  • 6.5% transaction fee: $0.78

  • 3% payment processing: $0.36

  • Processing flat fee: $0.25

Total basic platform fees:

$1.59

Approximate amount remaining:

$10.41

That is before considering:

  • Shop setup cost

  • Advertising

  • Offsite Ads

  • Refunds

  • Income taxes

  • Currency conversion

  • VAT or tax on seller fees where applicable

  • Other business expenses

This is why we do not recommend choosing a digital-product price simply because another seller charges $5.

A Simple Pricing Formula

Suppose you want approximately $10 left from each U.S. sale before taxes, advertising and other expenses.

The simplified percentage fees are:

6.5% + 3% = 9.5%

The simplified fixed fees are:

$0.20 + $0.25 = $0.45

Use:

(Desired amount + fixed fees) ÷ (1 – percentage fees)

For a $10 target:

($10 + $0.45) ÷ 0.905 = about $11.55

So a price around $11.55 would produce approximately $10 after those basic Etsy fees under this simplified example.

It does not protect your margin from an Offsite Ad fee, advertising costs, taxes or other expenses.

For custom made-to-order digital products, also charge for your labor.

If a custom invitation requires 45 minutes of your time and your internal labor target is $30 per hour:

0.75 × $30 = $22.50 labor

Start with that labor cost, then add any other project costs and account for Etsy fees.

Do not charge $8 for a custom product that takes an hour to make simply because the finished file is “just digital.”

Step 11: Create Your First Digital Listing

On Etsy.com:

  1. Open Shop Manager.

  2. Select Listings.

  3. Select Add a listing.

  4. Fill out the listing sections.

  5. Publish when everything is complete.

Etsy currently organizes the listing form into sections covering areas such as:

  • Photos and video

  • Category

  • Item details

  • Item options

  • Pricing

  • How the item was made

  • Settings

The wording or layout can change, so follow the labels currently displayed in your own Etsy dashboard.

Step 12: Tell Etsy This Is a Digital Product

In the listing editor, find the question asking what type of item you are selling.

Choose:

Digital files

For an instant download, this causes the section for customer download files to appear.

Do not accidentally list the item as a physical product.

If you do, the buyer may see shipping expectations that make no sense for a downloadable product.

Step 13: Choose the Most Accurate Category

Do not choose a category only because you think it gets more traffic.

Choose the category that most accurately describes what you’re selling.

Etsy says categories and attributes help the marketplace understand and match listings with shopper searches.

For example, a printable wedding invitation should be categorized as closely as possible to what the actual product is.

Fill in relevant attributes that Etsy provides.

Step 14: Write a Title a Shopper Can Understand

Etsy currently allows listing titles of up to 140 characters, but Etsy recommends considering fewer than 15 words and clearly stating what the item is rather than repeating keywords.

This is a useful change from the old Etsy habit of cramming every possible keyword into the title.

Bad:

Budget Planner Printable Budget Template Monthly Planner Finance Planner Money PDF Printable Budget Sheet Instant Download

Better:

Printable Monthly Budget Planner, US Letter and A4 PDF

The second tells the shopper what the product is.

Etsy also notes that search engines may show only about the first 50 to 60 characters of the page title, another reason to put the most important information early.

Etsy’s current SEO guidance

Step 15: Write a Description That Answers Buying Questions

Do not write three sentences and expect the listing images to explain everything.

A digital-product description should clearly tell the customer:

What it is

This is a printable 30-page household budget planner delivered as PDF files.

What she receives

Your purchase includes:

  • 30-page US Letter PDF

  • 30-page A4 PDF

  • Printing guide

  • Getting-started instructions

How it is delivered

This is a digital download. No physical product will be shipped.

What she needs

You will need a PDF reader to open the files and a printer if you want a physical copy.

Whether she can edit it

This PDF is not editable.

Or:

This purchase includes an editable Canva template. A Canva account is required.

How she prints it

State:

  • Page size

  • Orientation

  • Recommended print setting

  • Whether duplex printing is appropriate

  • Whether professional printing is permitted

License

Explain whether it is:

  • Personal use

  • Commercial use

  • Limited commercial use

  • Another clearly defined license

Do not call something “commercial use included” unless you can explain what that actually allows the customer to do.

Copyable Digital Product Description Template

Use this as a starting structure rather than copying random Etsy competitors.

  • [File 2]

  • [File 3]

HOW IT WORKS

  1. Complete your purchase.

  2. Etsy makes the files available after payment is confirmed.

  3. Sign in to Etsy.com from a browser or computer.

QUESTIONS?

Send us a message through Etsy if you have trouble accessing or using the product.

Etsy recommends clearly describing an item in the opening part of the listing description and using relevant words shoppers may use when searching.

Step 16: Use All 13 Etsy Tags When They Are Relevant

Etsy currently allows up to 13 tags, and each tag may contain up to 20 characters. Etsy recommends using accurate, varied phrases that shoppers may actually search for.

For a budget printable, possible tags might include:

  • budget planner

  • printable budget

  • monthly budget

  • finance printable

  • expense tracker

  • savings planner

  • money planner

  • household budget

  • budget worksheet

Do not repeat essentially the same phrase 13 times.

Etsy’s official guide to listing tags

Step 17: Upload the Digital Files

Now locate the Digital files section of the listing.

Upload your prepared customer files.

Remember the current limits:

Maximum files: 5
Maximum size per file: 20 MB

After uploading, check every filename one more time.

If you see:

FINAL3BudgetPlanner-copy.pdf

fix it before publishing.

Etsy says uploaded digital filenames cannot simply be renamed in place. You would need to remove the file and upload the correctly named version.

Step 18: Understand the Limitation on Digital Variations

This catches some sellers by surprise.

Etsy currently does not support variations on digital listings.

Suppose you sell:

  • Pink planner

  • Sage planner

  • Blue planner

You cannot rely on the normal Etsy variation system the same way you could for a physical shirt with three colors.

Instead, you may need to:

  • Include all advertised colors in the download

  • Create separate listings

  • Use personalization where appropriate

  • Use a made-to-order workflow if the customer is requesting custom work

Plan this before designing dozens of variations.

Step 19: Create Listing Images That Sell the Product Clearly

A customer cannot pick up a digital printable in her hands.

Your listing images have to do that job.

Etsy currently recommends listing images with dimensions of at least 2,000 pixels in width and height. Etsy also recommends that the first image be horizontal or square and that the important subject stay near the center because images are cropped differently around the marketplace.

Etsy’s listing image requirements and best practices

For a digital planner, we might create this listing-image sequence:

Image 1: Product hero image

Show the planner clearly.

Text:

30-Day Business Content Planner

Image 2: What’s included

Show small previews of the pages.

Text:

30 Pages Included

Image 3: File information

Example:

Instant Digital Download
PDF | US Letter + A4

Image 4: Close-up

Show two or three useful pages at readable size.

Image 5: How it works

Use three steps:

Purchase → Download → Print

Image 6: Who it is for

Explain the type of customer who would use it.

Image 7: What is NOT included

Example:

Digital product only. No printed planner will be shipped.

Image 8: Printing instructions

Show:

  • US Letter

  • A4

  • Home printer

  • Professional printer

Image 9: License

Example:

Personal Use Only

Image 10: Customer support

Example:

Questions? Message us through Etsy.

You do not have to use exactly ten images. The important point is that your pictures should answer buying questions instead of merely decorating the listing.

Step 20: Add a Short Listing Video When It Helps

Digital products can be difficult to understand from static mockups.

A short video can show:

  • Pages flipping

  • Template editing

  • Tabs in a spreadsheet

  • A planner being printed

  • A before-and-after customization

  • The number of included pages

Etsy currently permits up to 20 listing photos and up to two listing videos in the current listing editor.

Do not make a video that promises features not included in the product.

How to Make a Simple Etsy Listing Video in Canva

We do not want to tell you “add a video” and leave you there.

For a printable planner:

  1. Open Canva.

  2. Create a short video design.

  3. Add your planner cover as Scene 1.

  4. Add three interior pages as Scene 2.

  5. Add a mockup showing the printed product as Scene 3.

  6. Add a final screen reading Instant Digital Download.

  7. Keep wording large and simple.

  8. Export the finished video.

  9. Watch the exported version before uploading it to Etsy.

  10. Upload it under Photo & video in the Etsy listing editor.

Remember that the video should show the actual product, not a prettier product that the buyer does not receive.

Step 21: Set Up the Digital Message Buyers Receive

Etsy has a useful feature specifically for digital products.

Go to:

Shop Manager → Settings → Info & Appearance

Find:

Message to Buyers for Digital Items

Etsy says this message appears on the Downloads page for digital orders and applies to the digital listings purchased from your shop.

Copy This Buyer Message and Customize It

Thank you for your purchase!

Your files are available through Etsy after your payment has been confirmed.

On a computer or mobile browser:

  1. Sign in to Etsy.com.

  2. Go to Your Account.

  3. Open Purchases.

  4. Find this order.

  5. Select Download Files.

Etsy currently does not support downloading digital purchases directly through the Etsy app. If you are using a phone or tablet, please open Etsy in your web browser instead.

If your download contains a ZIP file, extract/unzip it before opening the files inside.

If you checked out as a guest, use the download link in the receipt Etsy emailed to you.

If you still have trouble, please send us a message through Etsy and we will help.

Those instructions match Etsy’s current buyer-download guidance.

What Happens After Someone Buys an Instant Download?

This is the part Etsy automates for you.

After payment is confirmed:

  1. Etsy makes the digital files available.

  2. Etsy sends the customer an email.

  3. A signed-in customer can go to Your Account → Purchases → Download Files.

  4. A guest buyer receives the download link through the Etsy receipt email.

The seller does not normally need to manually email an instant-download order.

That is the key operational advantage.

One Important Thing Your Customers Need to Know

As of this article’s August 2026 fact check, Etsy says customers cannot download digital purchases directly through the Etsy app.

They need to use:

  • Etsy.com from a computer, or

  • Etsy.com in a mobile browser.

This one sentence belongs in:

  • Your listing description

  • Your START HERE instructions

  • Your buyer message

  • Possibly one listing graphic

It can prevent unnecessary “Where is my download?” messages.

What If the Customer Checked Out as a Guest?

She can still receive the download.

Etsy says a guest who purchases an instant digital product receives a download link in the receipt email.

This makes a useful support reply:

If you checked out without creating an Etsy account, look for the Etsy receipt email sent to the email address you entered at checkout. The download link is included there. Please also check spam, junk or Promotions if you don’t see it.

Do not immediately email a new copy of the product to a different email address without first checking the order details.

What If the Customer Says the Download Button Is Gray?

Do not panic.

Etsy says the Download Files button may remain gray while the payment is still processing.

You can tell the buyer:

Etsy may still be confirming your payment. Once the payment is confirmed, Etsy should make the download available automatically.

Do not promise an exact processing time unless Etsy gives one for that transaction.

What If the Customer Cannot Open the ZIP File?

Etsy provides its own ZIP instructions.

On a computer, the buyer can generally double-click the ZIP file or right-click and choose Extract.

On a phone or tablet, the buyer may need the device’s file manager or another compatible app.

This is another good reason to include a START HERE guide.

How Made-to-Order Digital Downloads Work

Now suppose you sell a personalized wedding invitation.

You cannot prepare the exact finished file before the customer enters:

  • Names

  • Date

  • Venue

  • Wording

  • Color choice

That is where Etsy’s made-to-order digital system fits.

When creating the listing, Etsy directs sellers to choose Made To Order for the appropriate creation timing.

After the buyer orders:

  1. Open Shop Manager.

  2. Open Orders.

  3. Find the incomplete order under New.

  4. Select the order.

  5. Choose Complete order.

  6. Select Upload file.

  7. Upload the finished customer files.

  8. Select Complete order.

Etsy currently allows up to five files at 20 MB each for completed made-to-order digital orders as well.

Etsy then emails the buyer that the files are ready.

Build a Made-to-Order Workflow Before You Sell One

Do not wait for the first custom order to decide how your process works.

Use this workflow.

1. Customer orders

Etsy records the transaction.

2. Review personalization details

Check immediately for missing information.

3. Message the buyer if something is missing

Keep the communication in Etsy Messages when possible so the order discussion remains connected to the transaction.

4. Create the custom product

Work from a duplicate of your master file.

Never edit your only master.

5. Proofread

Check:

  • Names

  • Dates

  • Addresses

  • Spelling

  • Numbers

  • Colors

  • Product specifications

6. Send a proof if your listing promises one

Explain exactly how many revision rounds are included.

7. Make approved changes

Do not let “two revisions included” silently turn into 14 rounds.

8. Export the final file

Use the file format promised in the listing.

9. Open the exported file

Never assume export means success.

10. Upload through the Etsy order

Use the Etsy made-to-order completion workflow.

11. Archive the project

Store the order files using a non-sensitive internal system.

That is client/customer onboarding and fulfillment. It should be a process, not a collection of emails you reinvent with each order.

Can Digital Etsy Purchases Be Returned?

Etsy states that digital listings cannot be set up with normal return or exchange policies, and digital item pages indicate that those items cannot be returned or canceled.

That does not mean sellers can send broken or misrepresented products and refuse to help.

If the digital item is materially different from the listing or is never delivered, the buyer may qualify for Etsy Purchase Protection.

Our recommendation is simple:

Fix legitimate problems.

If you accidentally upload the wrong PDF, send the wrong version or create a broken template link, correct it.

A “digital products aren’t refundable” statement is not an excuse for failing to deliver what the listing promised.

Taxes on Digital Etsy Products

Taxes get complicated quickly, especially when digital products are sold internationally.

Etsy currently collects and remits VAT on qualifying digital items purchased by buyers in numerous countries and regions. Etsy says buyers pay the applicable VAT and Etsy remits it to the relevant authorities for transactions covered by that system.

Etsy’s current digital VAT explanation

In the United States, Etsy also automatically calculates, collects and remits sales tax where marketplace laws require Etsy to do so.

This does not mean an Etsy seller has no tax obligations.

Income tax, business registration, state requirements and other obligations depend on your situation.

For tax advice specific to your business, use a qualified tax professional rather than a blog article or AI answer.

How to Handle Canva Templates on Etsy

Canva templates deserve a separate workflow because the customer usually is not buying a finished PDF.

She is buying access to an editable design.

A simple delivery package looks like this:

Etsy download: START-HERE.pdf

Inside that PDF:

  • Thank-you message

  • What the buyer purchased

  • Canva requirements

  • Large OPEN YOUR TEMPLATE button

  • Your Canva template link

  • Instructions

  • License terms

  • Support information

Canva says templates containing Pro Content must be shared as Canva template links under its applicable licensing rules.

Before selling:

  1. Open your master Canva design.

  2. Confirm the product is an original design.

  3. Check whether you used Free or Pro Content.

  4. Review Canva’s current Content License.

  5. Create the appropriate template link.

  6. Open the link in a private/incognito browser.

  7. Confirm that it creates access as intended rather than exposing your master for editing.

  8. Add the link to your START HERE PDF.

  9. Export the PDF.

  10. Click the link from the exported PDF.

  11. Upload that finished PDF to Etsy.

Do not skip steps 6 and 10.

A beautiful Etsy listing does not matter if the template link is broken.

Best Practice: Never Put the Buyer in Your Master File

This deserves its own warning.

When selling editable templates, do not give customers an ordinary edit link to the same master design you use for everyone.

Otherwise one customer may change the master and every future customer gets the altered version.

The goal is for the buyer to receive her own copy.

Test this before launch.

How to Decide Whether to Sell a $3 Product or a $30 Product

Do not base your price solely on page count.

A 100-page generic planner is not automatically worth more than a carefully designed five-page tool that solves a specific problem.

Consider:

  • How difficult the product was to create

  • How useful it is

  • How specific the problem is

  • How easy it is to use

  • Whether it saves the buyer work

  • Whether commercial rights are included

  • Whether customization is included

  • Customer-support burden

  • Market competition

  • Etsy fees

  • Advertising expense

  • Updates required

  • Your brand positioning

Then work backward from the amount you need to retain.

For made-to-order products, add your labor.

For low-priced products, remember that fixed fees take a larger percentage of a small sale.

Do Not Compete Only on Price

If three competitors sell a product for $2.99, it is tempting to list yours for $1.99.

Then somebody else goes to $1.50.

That race has no good ending.

Instead, improve what the customer receives.

You might provide:

  • Better instructions

  • Multiple useful sizes

  • Cleaner design

  • Better organization

  • A true getting-started guide

  • Editable options

  • Better listing photos

  • A logical bundle

  • Better customer support

  • More specific use cases

Give the buyer a reason to choose your product other than “ours is 50 cents cheaper.”

How to Improve Etsy Search Visibility Without Keyword Stuffing

Etsy’s current guidance places importance on clear titles, relevant tags, accurate attributes, listing quality and good customer experience.

Start with the customer.

If you’re selling an editable cleaning schedule, ask:

What would the customer type?

Possibilities might include:

  • cleaning schedule

  • cleaning planner

  • home cleaning list

  • weekly cleaning

  • printable chores

Then determine which phrases accurately describe your product.

Do not put “wedding planner” in your tags just because wedding printables are popular if you are selling a household cleaning schedule.

Relevance beats random traffic.

Use Etsy’s Search Visibility Tool

Etsy has a Search Visibility page that can identify some problems that may affect a listing’s visibility.

Among other things, Etsy currently looks for factors such as:

  • A listing image

  • High-resolution primary imagery

  • A clear primary photo

  • Specific category selection

  • Applicable policy information

Customer Support Replies You Can Save

You will probably answer the same questions more than once.

Save replies.

“I can’t find my files.”

Hi [Name],
Thanks for reaching out. Etsy digital downloads currently need to be accessed through Etsy.com rather than directly through the Etsy app. Please sign in through a computer or mobile browser, go to Your Account → Purchases, locate the order and choose Download Files.

If you purchased as a guest, the download link should be in the Etsy receipt email sent after your purchase. Please check spam or Promotions as well.

If you still can’t access it, let me know what happens when you try and I’ll help you troubleshoot.

“The ZIP file won’t open.”

Hi [Name],
The download is packaged as a ZIP folder, so it needs to be extracted before opening the individual files.

On most computers, double-click the ZIP file or right-click it and choose Extract. On a phone or tablet, use your device’s file manager to extract it.

Once extracted, open the individual files inside the new folder.

“I thought you were mailing this.”

Hi [Name],
This listing is for a digital download, so no physical product is shipped. The downloadable files are included with your Etsy order.

I want to make sure you can use what you purchased, so please let me know if you need help finding the files.

Then look at your listing.

If several customers believe a physical item is coming, that is not merely a customer-support problem.

Your listing probably needs to make DIGITAL DOWNLOAD / NO PHYSICAL PRODUCT much clearer.

Keep a Digital Product Master Sheet

Once you have more than a few listings, create a spreadsheet.

Use columns such as:

Product Listing URL Master File Customer Files Canva Link Tested Price Etsy Fee Estimate Tags Last Updated Last Tested

Add:

  • Product version

  • File sizes

  • Listing-image folder

  • Software used

  • License source

  • AI used?

  • AI disclosed?

  • Customer instructions updated?

  • Broken-link check

This becomes particularly useful with editable templates.

If Canva changes a link or you update a master product, you will know which Etsy listing needs attention.

Review Your Products on a Schedule

Digital does not mean permanent.

Every few months, check:

  • Do all links still work?

  • Are instructions still accurate?

  • Has software changed?

  • Are screenshots outdated?

  • Has Etsy changed its limits?

  • Are there repeated customer questions?

  • Is your listing title still clear?

  • Are old product versions still being delivered?

  • Has a font or stock-license rule changed?

  • Does the product need an update?

A digital shop with 100 forgotten products can create much more work than a shop with 25 well-maintained ones.

Common Mistakes to Avoid

Uploading the wrong file

Create a separate CUSTOMER FILES folder so master files and customer files are never mixed.

Leaving ugly filenames

Customers see the filenames.

Rename everything before upload.

Assuming Etsy delivers through the app

It currently does not.

Tell customers to use Etsy.com in a browser.

Selling a Canva element as your own design

Canva specifically restricts standalone resale of its library content.

Create original work and review Canva’s license.

Forgetting to test template links

Always test them outside your logged-in editing session.

Saying “instant download” for customized work

If you must create the product after purchase, use the appropriate made-to-order workflow.

Hiding the fact that it is digital

Put DIGITAL DOWNLOAD prominently in your listing.

Stuffing the title with keywords

Etsy’s current guidance favors clearer, more natural titles.

Ignoring fees when pricing

A $5 sale is not $5 in your bank account.

Copying competitors

Researching the marketplace is fine.

Copying someone else’s wording, artwork, layout or product is not a business strategy.

Selling something you have not opened yourself

Test every file.

Frequently Asked Questions

Does Etsy automatically deliver digital downloads?

Yes, for an instant digital listing, Etsy makes the uploaded files available to the buyer after payment is confirmed. The customer can then retrieve them through Etsy.com.

Made-to-order digital products work differently because you create and upload the final file after the purchase.

How many files can I upload?

Etsy currently allows up to five digital files per listing, with a maximum file size of 20 MB each.

Can I upload ZIP files?

Yes. ZIP is currently one of Etsy’s supported digital file types.

Can the buyer download through the Etsy app?

Not currently. Etsy tells buyers to use a desktop computer or mobile web browser.

What happens if the customer buys as a guest?

For an instant digital item, Etsy sends the guest buyer a receipt email containing the download link.

Can I create color or size variations for a digital Etsy listing?

Etsy currently says normal listing variations are unavailable for digital products.

Plan your product packaging around that limitation.

Can I sell Canva templates?

Yes, subject to Canva’s licensing rules. Canva says the design must be original and places special restrictions on templates containing Pro Content, including the use of Canva template links.

Read Canva’s current license before selling.

Can I sell AI-created digital products on Etsy?

Etsy currently includes seller-prompted AI creations in its “Designed by a seller” category, but Etsy requires disclosure of AI use.

You are still responsible for intellectual-property compliance and the finished product.

Do I need a business license?

Etsy itself says it does not require sellers to have a business license. However, sellers must comply with the laws that apply to their own business and location.

Check your local requirements.

Are Etsy digital products refundable?

Etsy says digital listings cannot use normal return/exchange settings, and digital listing pages indicate that digital products cannot be returned or canceled. Problems such as an item being materially different from the listing may still qualify for Etsy Purchase Protection.

How quickly does the customer receive the file?

For an instant product, Etsy makes the file available once payment is confirmed. Payment processing can occasionally delay access.

Our WAHMN Recommendation for Your First Digital Product

Do not begin by trying to build a 700-item Etsy empire.

Create one good product.

Then complete this process:

Create it → test it → package it → price it → make the listing → upload it → create buyer instructions → publish it → answer customer questions → improve the product.

Once you know that process works, create the second product.

Then the third.

That gives you something much more useful than 50 rushed listings. It gives you a repeatable digital-product business system.

If you’re still deciding what you want to sell, how the product fits into your home business, or how much you need the business to earn, complete that planning before building a large catalog. The WAHMN Business Planner and Launch System are designed to help with that larger business foundation.
