How do I use AI to prepare for a client meeting without feeding it confidential information?
The short answer
Prepare from a sanitized brief: the meeting purpose, public client facts, non-identifying context, your questions, and the decisions needed. Keep private documents, names, credentials, financial details, and sensitive communications out unless the client authorized the specific use and the tool is approved.
Build the brief yourself first
Write:
- Meeting goal.
- Attendees by role, not name.
- Public business context with links.
- Decisions or information needed.
- Known constraints stated generically.
- Questions you want to ask.
- Topics that are off limits.
Instead of pasting a contract, write “The agreement allows two revision rounds. I need to discuss a third.” Instead of pasting private financials, write “The client needs a lower-cost phase-one option.”
Ask AI to organize the agenda, identify missing questions, suggest neutral wording, and create a note template. Do not ask it to infer a person’s motives or sensitive traits.
Check the data controls
Review the exact tool and plan. OpenAI’s consumer Data Controls allow users to turn off model-improvement use for new conversations, while ChatGPT Business says workspace data is excluded from training by default (OpenAI Data Controls, ChatGPT Business privacy). Other services differ. Training use is only one question. Also review retention, access, integrations, and contractual terms.
NIST recommends monitoring generative-AI use for personally identifiable and sensitive-data exposure (NIST Generative AI Profile). Use the least information needed.
Keep the meeting human
Read the agenda, verify public facts, and remove generic filler. During the meeting, obtain permission before recording or using an AI notetaker. Offer a non-recorded option. Afterward, verify notes against your own record before assigning actions.
Confidentiality and privacy duties vary by contract, profession, and location. Check the rules that apply and get qualified advice when the information is sensitive.
