How do I use AI to draft SOPs from work I already do?
The short answer
Record yourself doing the task, give AI a clean transcript and supporting materials, then test the draft by having another person follow it. The real work is observing decisions and exceptions that feel obvious to you but are invisible to a new person.
Capture one complete run
Choose a task with a clear trigger and finish, such as publishing an approved post or refunding an eligible order. Screen-record or narrate the process without exposing passwords or customer data. Collect approved templates, checklists, and policy links.
Mark every decision aloud: what you check, what makes you stop, which cases need approval, and how you know the task succeeded.
Ask for a useful SOP structure
Have AI draft purpose, scope, owner, trigger, prerequisites, tools, numbered steps, decision points, exceptions, escalation, quality check, evidence of completion, and revision date. Require placeholders instead of invented facts.
Review line by line against the recording. NIST’s Generative AI Profile recommends processes that address information integrity and evaluate AI output rather than assuming it is correct (NIST Generative AI Profile).
Test with a fresh pair of eyes
Ask someone familiar with the business but not the task to follow the SOP in a test environment. Observe silently. Note missing access, ambiguous verbs, assumed knowledge, wrong sequence, and unsafe shortcuts.
Revise until the person can complete the task and produce the expected evidence. Add screenshots only where the interface is hard to describe, because screenshots age quickly. Keep links to current official instructions.
Assign an owner and review trigger, such as a tool change, error, policy update, or six-month date. Archive old versions. Do not paste secrets into the SOP.
For high-stakes tasks, require trained review and approval. An SOP supports judgment. It does not turn an unqualified person into a lawyer, accountant, clinician, security expert, or other licensed professional.
