How do I use AI to summarize long business documents without missing important details?

Use AI to create a navigable first pass, then verify every important point against the original. A summary is a map, not a substitute for reading the parts that control money, deadlines, obligations, rights, safety, or decisions.
Prepare the document safely
Confirm you may upload it and that the tool is approved for its confidentiality. Remove unnecessary personal information. For sensitive contracts, legal correspondence, regulated records, or client material, use the authorized process and qualified professional review rather than a consumer tool.
Divide a very long document by its actual headings or page ranges. Keep page numbers and section titles in each chunk so the output can point back to the source.
Ask for a structured extract

- Major sections in order.
- Dates and deadlines.

- Exceptions and conditions.

Ask a second pass to list what the first summary omitted, but do not treat agreement between two prompts as proof. Both can repeat the same error.
For a decision, attach the verified extract, unresolved questions, and who must review. If the document is a contract, legal notice, medical record, financial statement, or other high-stakes material, the appropriate professional remains responsible for interpretation.
