Which tools does a social media manager actually need to manage clients securely and efficiently?
The short answer
Begin with six functions: delegated account access, a content calendar, file storage, approval, scheduling, and reporting. Add a password manager and secure communication. You do not need a giant stack, and no tool fixes an unclear process.
Build the smallest workable system
Choose one place for each job:
- Client-owned platform access with named roles.
- Calendar or project board with status and due dates.
- Client-owned or shared file library with permissions.
- Written approval record and version history.
- First-party or reputable scheduler.
- First-party analytics plus a simple report.
- Password manager for the few secrets that cannot use delegated access.
- Business email and secure meeting method.
Prefer official platform features before adding another connector. Meta Business Suite lets businesses assign people and specific assets (Meta access guidance).
Evaluate security and ownership
Ask who owns the account and data, whether MFA and role-based access exist, what permissions an integration requests, how exports and deletion work, and what happens when the client leaves. CISA recommends MFA because it helps protect accounts after password compromise (CISA MFA guidance).
Do not connect a trendy AI tool to every client account without reviewing its terms, data use, access, and necessity. Never paste confidential messages, customer data, unreleased plans, or credentials into an unapproved system.
Keep a tool register
For each client, record tool, owner, purpose, permissions, billing, renewal, data stored, and offboarding step. Review integrations quarterly. Remove unused apps and former team members.
Standardize folder names, file names, calendar fields, approval statuses, and reports before buying automation. The time saved usually comes from everyone knowing where work belongs.
Test the system with one post from brief to report. If you cannot identify who approved it, which file is final, or how to revoke access, the stack is not ready.
