How do I use AI to build spreadsheets and analyze business data safely?

The short answer

Use AI on a small, sanitized copy to design formulas, checks, and analysis steps. Keep the original untouched, verify formulas with known examples, and do not upload sensitive business or customer data to an unapproved tool.

Define the decision before the spreadsheet

Write what each row represents, required columns, allowed values, calculations, and the question the sheet must answer. Ask AI for a schema and formulas using invented sample data first.

For example, test a margin formula with numbers you can calculate by hand:

revenue - direct costs = contribution

If revenue is $750 and direct costs are $350, contribution must be $400. Then test blanks, zeros, refunds, negative numbers, dates, and copied formulas. A correct result in one row does not prove the workbook is safe.

Protect the data

Remove names, emails, account numbers, credentials, detailed transactions, confidential rates, and unnecessary row-level information. Use categories or aggregated totals when they answer the question. Review the tool’s data controls and your client agreements.

NIST recommends monitoring generative-AI use for privacy risk and sensitive-data exposure (NIST Generative AI Profile). For financial, employee, health, or regulated data, use approved systems and qualified security, privacy, accounting, or legal guidance.

Make the workbook auditable

Keep raw data separate from calculations and outputs. Label units and time periods. Add validation lists, error checks, formula notes, and a “last refreshed” field. Protect formula cells while leaving inputs clear.

Compare totals with the source system and spot-check several rows. Ask a second person to reproduce one result. If AI gives a formula you cannot explain, do not build a business decision on it.

Save versioned copies before changing the live file. The best AI-built spreadsheet is not the fanciest. It is the one whose inputs, formulas, assumptions, and result you can trace.
