What should a return and refund policy say so customers know the rules before buying?
The short answer
A clear return policy says which items can be returned, the deadline, required condition, how to start, who pays shipping, when money is refunded, and which exceptions apply. It should also explain damaged, defective, incorrect, personalized, digital, final-sale, and international orders in plain language.
Answer the customer's questions in order
- Am I eligible? Name the returnable and excluded product types.
- How long do I have? Say when the clock starts and whether the request or parcel must arrive by the deadline.
- What condition is required? Explain packaging, tags, use, and hygiene limits.
- How do I begin? Give the contact method, order information, and whether authorization is required.
- Where does it go? Never make the customer guess the return address.
- Who pays shipping? Separate store error or damage from changed-mind returns where legally permitted.
- When and how is money returned? Name inspection timing, original payment method, store credit options, and any permitted deductions.
- What if it is damaged or wrong? Give a faster path and evidence requirements.
Shopify's return-rules documentation supports configurable windows, return-shipping costs, restocking fees, and final-sale items. The written policy and platform rules must agree.
Make important exceptions visible before purchase
If personalized products cannot be returned for changed mind, say so on the product page and at checkout, not only in the footer. If a digital download becomes nonrefundable after access, explain exactly when that occurs. Do not label an item “final sale” to avoid mandatory rights.
Shopify's policy setup guide warns that templates need review and directs merchants to local legal expertise when needed. A generated template is a starting draft, not proof of compliance.
Check the law for every market
Return and cancellation rights vary by country, state, product, and sales method. Use the actual relevant government authority or a qualified local professional to confirm how rules apply to your store.
Match the policy to the real workflow
Test one ordinary return, one damaged order, and one exchange. Confirm the customer email, label, inventory status, payment refund, bookkeeping, and staff permissions all work. Set a response target and a refund-processing target you can meet.
Track return reason, SKU, cost, condition, and outcome. The policy protects clarity, while the data helps reduce future returns.
