What should a professional website handoff include so the client can take over safely?

The short answer

A handoff should leave the client able to sign in, pay renewals, make routine updates, contact support, restore a backup, and hire another professional later. Deliver access, documentation, training, and a clean transfer of responsibility, not just a “site is live” email.

Give the client an ownership map

List domain registrar, DNS, hosting, CMS, email, forms, analytics, search tools, payment services, licensed fonts or plugins, stock assets, backups, and integrations. For each, name the owner email, billing owner, renewal date, access level, and support route.

ICANN explains that the registrant is the party that enters the domain-registration agreement and manages the name through the registrar (ICANN registrant guide). Confirm the client, not the designer, holds that role.

Deliver working knowledge

Record short videos or hold a live session covering login, editing text and images, publishing safely, reviewing form entries, adding users, updating software where appropriate, and requesting help. Give a written one-page emergency guide for a broken page, hacked account, or missed renewal.

Provide final files and licenses: logo and brand assets supplied or created under the agreement, approved copy, original media, design files promised in scope, redirects, analytics notes, and the launch test record. State which third-party licenses do not transfer.

Close access deliberately

Have the client log in and use multifactor authentication. CISA recommends MFA because it adds protection even when a password is compromised (CISA MFA guidance). Move shared credentials into the client’s password manager, rotate anything that was temporarily shared, and remove your access unless maintenance continues.

End with a signed or emailed acceptance, known-issues list, warranty period, maintenance option, and date ongoing support begins or ends. Test a backup restore before calling the backup useful. A good handoff does not make you replaceable because you were careless. It makes you rehired because you were professional.
