Which CRM should a one-person business choose: HubSpot, Zoho, or a simpler option?
The short answer
Choose the simplest CRM that handles your real sales process without making you keep a second private system on the side. HubSpot can be a good fit when you want an approachable contact-and-deal system with room to add marketing and service tools. Zoho CRM can fit an owner who wants more configuration or already uses the Zoho family of products. A lighter CRM may be the better choice if you only need contacts, a small pipeline, notes, and dated follow-up tasks.
Do not choose from a feature chart alone. Build the same small working pipeline in two finalists and use each with real leads for several days.
Decide what the CRM must do before comparing brands
Write down your five most common weekly actions. They may be:
- Add a new inquiry without typing the same information twice.
- See which leads need a reply today.
- Record the last conversation and promised next step.
- Move an opportunity through a short sales pipeline.
- See which sources and services produce customers.
Those are requirements. AI assistants, elaborate dashboards, and large integration catalogs are optional until you can name the job they would perform.

Compare the three practical directions

Score the working experience
Give each finalist 1 to 5 points on:
- time to add a lead.
- clarity of today’s follow-ups.
- fit with your pipeline stages.
- email and calendar behavior.
- duplicate handling.
- mobile use.
- reports you will actually review.
- import and export quality.
- help and support.
- full annual cost at your expected users, contacts, and features.
Double the score for daily use and follow-up visibility. A beautiful report you open once a quarter should not outweigh a task screen you will use every morning.
Run a realistic pilot
Enter ten to twenty active or safely anonymized sample leads. Test the same actions in both systems:
- Import five records with one deliberate duplicate.
- Add a lead from a form or manually.
- Record a call and create a next task.
- Move a deal through your stages.
- Find every overdue lead.
- Correct a mistaken field.
- Export the contacts, activities, and deals.
If you consistently avoid one system, write down the exact friction. Do not assume you need more training until you confirm that the workflow itself makes sense.
Price the system you will become, not an imaginary empire
Calculate today’s cost and the cost at the next realistic step, such as two users, 2,500 contacts, basic automation, and email connection. Include implementation, cleanup, paid support, integrations, and the time required to maintain it.
Choose a system you can leave. Export contacts and deals during the trial and inspect the file. Your business history should not become trapped because you never tested the exit.
